About the role

Reporting to the Head of R&D, we’re seeking an Operations Manager to join our team. In this role, you play a crucial role in overseeing and supporting day-to-day operational activities at our HQ. This role involves coordinating various aspects of logistics, including transportation, inventory management, procurement, and order fulfillment. The primary objective is to ensure the efficient flow of goods and information throughout the supply chain to meet customer demands and organizational goals.

Some of your key responsibilities will be:

R&D Operations:

  • Support safe and efficient R&D operations.
  • Assist with troubleshooting of equipment to minimize downtime.
  • Coordinate the shipment, installation and commissioning of new equipment.
  • Support the evaluation of new equipment and testing partnerships.
  • Coordinate with third party contractors for troubleshooting, maintenance, safety inspections, repairs, ESA compliance, etc.
  • Maintain and secure required permits and certifications for all R&D/production activities.

Inventory & Supplier Management:

  • Monitor and maintain optimal inventory levels to meet customer and R&D demand.
  • Maintain relationships with suppliers and support procurement activities.
  • Work with suppliers to address any issues related to quality, pricing, and delivery.
  • Identify alternate suppliers, creating a database of potential suppliers and costs.

Fulfillment & Logistics Coordination:

  • Process and coordinate customer orders, ensuring accurate and timely fulfillment.
  • Arrange and coordinate transportation for incoming and outgoing shipments.
  • Track shipments and communicate with carriers to ensure on-time delivery, resolving any issues or delays in the transportation process.
  • Manage and organize all relevant documentation, including shipping records, invoices, and customs documentation.

Office & Administrative Support:

  • Maintain a well-organized and tidy office environment.
  • Manage office supplies, kitchen supplies, equipment, and inventory.
  • Assist with general administrative tasks as needed.
  • Manage and support office scheduling, visitor tours, and team-wide meetings.
  • Maintain the hardware and software related to Firewall, internet, CCTV and building security systems.
  • Configure and update employee devices, FOB, servers, and other IT infrastructure.
  • Source and install IT equipment as needed.
  • Manage or collaborate on facility management initiatives (fire safety, GMP audits)

About You

  • Bachelor's degree in Supply Chain Management, Logistics, Business, or a related field with strong English language skills is required.
  • 3-5 years proven experience in supply chain coordination, office and R&D operations management
  • Familiarity with relevant regulations and industry standards.
  • Experience with Google suite (e.g.Docs, Sheets, Slides, Drive) is mandatory.
  • Utilize office software (e.g., Microsoft Office suite, QuickBooks) efficiently.
  • Learn and adapt to new tools and technologies as necessary.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Attention to detail and accuracy in work.
  • Strong analytical and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Self motivated and can work both collaboratively and independently. Once given a task you see it through to completion, seeking out assistance when required and leveraging all resources at your disposal.
